The Booking
What time will the act or supplier arrive?
Arrival times vary depending on what you’ve booked and the venue schedule. Many performers arrive 60–90 minutes before they’re due to start, while some suppliers may need earlier access for delivery or set-up. For weddings, this is often after the wedding breakfast and speeches. For corporate events, set-up is usually completed before guests arrive. If you need early access, let us know and we’ll confirm timings.
How long does set-up take?
Set-up times depend on the service. A solo musician may be ready quickly, while a full band, production, or larger supplier set-up can take longer. We’ll confirm what to expect once you’ve shortlisted your options and we know the venue details.
How long will they perform or be available for?
This depends on the act or service and what you book. Many live acts offer a choice of set lengths, while entertainers may work in walkabout sets or timed appearances. Suppliers will typically deliver and/or operate for an agreed time window. Your quote and booking details will confirm what’s included.
How long are the breaks (if applicable)?
If your booking includes breaks, these are usually around 15–20 minutes, but they can often be adjusted to fit your timings on the day.
What time should the entertainment start?
It’s completely up to you and your schedule. For evening events, a common start time is around 9pm for live music, but earlier starts can work well for background sets, walkabout entertainment, or daytime performances. If you’re unsure, tell us your running order and we’ll suggest what tends to work best.
Can we request something specific?
In many cases, yes. Musicians may be able to learn a special song, entertainers can often tailor their performance, and suppliers may offer custom options. The best approach is to send your request over early so we can confirm what’s possible for the act or supplier you’re booking.
Can we choose what’s included on the day?
You’re welcome to share your preferences. For musicians, that might be favourite songs or the general vibe. For entertainers, it could be the style of interaction or age range. For suppliers, it may be set-up details, layout, or add-ons. Final choices can depend on the venue, timings and what works best in the moment.
Do you provide music between sets or background audio?
If you’ve booked live music with sound equipment included, many acts can play background music before and between sets. If you have specific tracks, you can usually provide a playlist. For non-music services, background audio isn’t normally included unless you’ve booked sound equipment separately.
What will they wear?
Most acts and suppliers present themselves in a way that suits the event. Many performers dress smart by default, while themed acts will match their look to the concept. If you have a dress code or branding requirements for a corporate event, let us know and we’ll pass that on.
Do they need refreshments or a meal?
For longer bookings, it’s appreciated if performers have soft drinks available, and a meal where they’re on site for several hours. Requirements vary by act and will be confirmed ahead of time.
Confirming a Booking
How do I confirm a booking?
To confirm, we’ll need your contact details and the venue information. We’ll then send a booking agreement with the key details and terms. A deposit is normally required to secure the date, with the balance due closer to the event. Payment options will be included with the booking paperwork.
Why might the quote be different from a price shown online?
Some pricing is shown as a guide and can vary depending on location, timings, access requirements, and what’s included. Travel, early set-up, late finishes, and additional equipment can all affect the final quote. We’ll always confirm the full cost before you book.
Are there any hidden fees such as VAT?
No. Where VAT applies, it will be clearly shown or included in your quote.
Does the quote include travel and expenses?
In most cases, yes. If there are any additional travel costs due to distance, parking, congestion charges, ferries, or unusual access requirements, we’ll flag this upfront.
What if the act or supplier can’t attend due to illness or an emergency?
If an individual performer can’t attend, they will usually arrange a suitable replacement where possible. If an act has to cancel entirely, we’ll work with you to find a like-for-like alternative, or offer a refund in line with the booking terms.
The Venue and Set-up
Do you provide sound equipment?
Many musicians and bands are self-contained and can provide suitable sound equipment. Other entertainers and suppliers may not require sound at all. If sound is needed, we’ll confirm whether it’s included or if it should be provided by the venue or hired in.
Do we need a stage?
A stage can be a great addition for some performances, but it’s rarely essential. If a stage is needed for a particular act or set-up, we’ll advise in advance.
What are the power requirements?
Power needs vary depending on what you’ve booked. Some acts need a couple of standard sockets, while larger set-ups can require more. We’ll confirm requirements once the booking is agreed and we know the venue set-up.
Do you have PAT testing and public liability insurance (PLI)?
Many professional acts and suppliers can provide PAT and PLI documents on request. If your venue needs certificates, let us know in advance and we’ll help you collect the relevant paperwork.
